We have a brand new and exciting opportunity to become our next Front of House Administrator. They will provide a professional and efficient reception service for the Paul Smith Nottingham Head Office and to assist the Global Health and Safety Manager / Department with all Health, Safety and Facilities related administrative duties.  

The Role:
•    To Answer and then screen all incoming calls promptly, courteously and efficiently using the Cisco switchboard system. Take any messages and deliver these to the appropriate person.
•    To act as a first point of contact and welcome all visitors, offer refreshments if required and inform relevant staff member of their guests’ arrival.
•    To book meeting rooms as requested, maintain the meeting room diaries, provide refreshments when required and ensure that rooms are always kept clean and tidy.
•    To open and sort all incoming mail, notify recipients/building, and ensure all out-going mail is sorted and prepared for collection and where applicable ensure records are maintained. 
•    To sign for any incoming parcels etc, via couriers and inform the relevant employee/department of their arrival. Follow up and delivery discrepancies with couriers, Royal Mail etc and provide an update to the relevant person / department. 
•    Administration of the Health and Safety e-Learning system / Health and Safety management system. 
•    To manage the Health and Safety inbox daily by ensuring all queries are actioned in a timely manner.
•    Order supplies and materials for the department, ensuring optimum costs are achieved. 
•    Order canteen and sanitary supplies and maintain stock levels across all kitchens / toilets within the offices and warehouse. 

Your Skills and Experience:
•    Experience in Reception duties, including switchboards.
•    Advance user of Microsoft Office suite. 
•    Excellent administrative experience.
•    Proficient at customer service. 
•    Excellent telephone manner.
•    Highly tuned inter-personal skills.
